LMS subject nomination process
General information
The LMS subject nomination process is necessary as because a central UniMelb system is not yet available to provide this information.
The teaching academic of a subject needs to be nominated as the 'primary coordinator' for the subject site to be created on the LMS.
The LMS subject nomination process is managed by your individual LMS faculty, school or departmental representative, with assistance from the Academic Support team.
Each LMS representative completes a nomination spreadsheet and returns it to the LMS Academic Support team to initiate subject creation on the LMS.
Nomination information required by your LMS representative:
Subject details:
Subject code [eg: 123456_2010_1]
Subject name [as shown in the University Course and Subject Handbook]
Primary Coordinator details:
First Name
Last Name
Username [username used to log into UniMelb email account]
Subject creation options:
The creation of an LMS subject MUST be based on one of the following three options:
1 - Subject copy forward
A previous instance of an LMS subject site may be used to create a new 2010 LMS subject. Information copied from the previous subject site into the new subject excludes announcements, calendar items, groups, and previous students. Also excluded are previous student contributions in discussion forum posts, blog and wiki content, and assessment submissions.
NOTE: This process copies ONLY the learning system content of the subject, there are then 3 further steps that need to be undertaken by the coordinator. (See here for further details)
If choosing this option, provide the subject ID of the past instance to be copied [eg: 123456_2009_1]
2 - Faculty template
Faculties, schools and departments are able to design a subject template so as to display preferred subject content and structure and provide consistency in all LMS subject sites.
Once a template has been completed it may be specified by the LMS faculty representative as the base of new subjects.
There are no restrictions on adding new content or manually copying sections of a previous subject instance using the manual Subject Copy option, into subjects created using a template. (See here for further details)
If choosing this option, provide the template subject ID [eg: ARTS001 or EDU004]
3 - Default UniMelb subject template
Nominated subjects created based on the default UniMelb LMS subject template will contain menu items that require content to be added and be further developed as needed.
If choosing this option, ensure your faculty representative specifically nominates it on the spreadsheet.
Optional nomination functions:
Support person
A secondary staff role may be added to subjects to support the primary subject coordinator.
This role would be appropriate for a faculty/departmental staff member providing support in many subjects. The four LMS staff roles are Coordinator, Tutor, Designer or Marker.
NOTE: A person added into subjects via the nomination process can only be updated via the nomination process, not via the Staff Role Management subject tool. A Help Desk request can be submitted to update persons added in this way.
If nominating secondary staff, provide the staff member's UniMelb username plus the desired staff role [C, T, D or M] It is possible to add multiple support staff into subjects, provide each username separated by ONLY a comma [eg. brianri,travis,bdiss]
Cohort linked subjects
Cohort linking is the unofficial linking of two LMS subject sites so that teaching practices and materials common to both subjects may be delivered from one LMS subject site, thus saving staff development and administration time.
It is advisable that the cohort subject contains a redirect link to the primary subject, so when the subject is made available to students they have easy access to where the subject is being taught. (How to add a redirect link guide)
NOTE: The grade centre and student list of the primary subject will contain all students from both the primary and cohort subjects, it is not possible to identify each students original enrolment from within the primary subject. Cohort linking of multiple subjects can become very complicated, please feel free to discuss this with Bob Ivison.
