LMS subject nomination process

General information

For an LMS subject to be created an academic subject coordinator is required to be nominated as the LMS subject's 'primary coordinator'. The LMS subject nomination process is necessary as a central UniMelb system is not available to supply this information.

The LMS subject nomination process is managed by your LMS faculty, school, departmental representative with assistance from the Academic Support team.

Each LMS representative completes their nomination spreadsheet and returns it to the LMS Academic Support team to initiate subject creation on the LMS.

 

Nomination information required by your LMS faculty representative:

Subject details:
Subject code [eg: 123456_2008_2]
Subject name [same as shown in the University subject handbook]

Coordinator details:
First Name
Last Name
Username [username used to log in to your UniMelb email account]

Subject creation options:
The creation of an LMS subject MUST be based on only one of the following three options:

1 - Subject site copy forward
A copy of any previous instance of an LMS subject site may be used to create a new 2008 subject in the LMS. Learning system content copied from the previous subject site into the new subject excludes announcements, calendar items, groups, and previous students. Also excluded are previous student contributions in discussion forum posts, blog and wiki content, and assessment submissions.
NOTE: This process copies ONLY the learning system content of the subject, there are then 3 further steps that need to be undertaken by the coordinator.

If choosing this option, provide the subject ID of the past instance to be copied
[eg: 123456_2007_2]

2 - Faculty subject template
Faculties, schools and departments are able to design a template of preferred subject presentation and structure to provide consistency in all their LMS subject sites. Once completed a template may be specified by the LMS faculty representative, on which to base the creation of new subjects.
Subjects created using a template may have additional content added to the template content, including adding content from scratch or manually copying sections of previously offered subjects using the manual Subject Copy option.

3 - Default UniMelb subject template
Selecting this option means the nominated subject will be created based on the generic UniMelb LMS subject template, as a default subject site it is ready to be designed and developed manually, or for an exported or archived subject package to be imported into.
If choosing this option, ensure your faculty representative specifically nominates it on the spreadsheet.

 

Optional nomination functions.

Support person
A secondary staff role is available to be added to a subject in support of the primary subject coordinator. This role would be appropriate for a faculty/departmental staff member providing support in many subjects. The four staff roles are Coordinator, Tutor, Designer or Marker.
NOTE: A person added via the nomination process into a subject puts them permanently in that subject in that role.

If nominating secondary staff, provide the staff member's UniMelb username and the desired staff role [C, T, D or M]

Cohort linked subjects
In some instances, it may be desirable to allow your nominated subject to be accessed by students enrolled in a separate subject; a process called 'cohort linking'.

NOTE: The gradebook and student list of the nominated subject will contain all students in the nominated subject and cohort subject, with no distinction as to which student is officially enrolled in which subject. Where multiple subjects have been cohort-linked in a chain, identification of a student's subject enrolment can become complicated.

If choosing this option, provide the subject ID of the cohort subject [eg: 123457_2008_2] to be given access to your nominated subject.
