Subject nominations - hints and tips
Copy subject forward
The "copy subject forward" option offered in the nomination process performs ONLY the first step in the process and further important actions are required.
The automated process only copies some components of a subject, and does not include the Content Collection component.
The following steps may also need to be undertaken by the subject coordinator to successfully complete the copy process.
Step - If relevant content collection files are located in a previous subject's instance folder they need to be copied into the new instance folder or preferably copied into the subject's base folder in the content collection. See "Check Collection Links" below.
Step - Links in the Learning System of the new subject that target content in the instance folder of the old subject need to be deleted and re-established to target the content copied to the new instance or base folder.
Step - Permissions then need to be added to ALL linked content to enable the new cohort of students to access that content.
Step - tests
Step - assignments
Step - Turnitin assignments
Step - Blogs and Wikis used in one instance of a subject MUST NOT be copied into a new subject.
If Blogs or Wikis are copied forward by the manual "Copy Subject" method they should be DELETED.
Students are likely to have ownership of Intellectuall Property in any content they have contributed in a subject. As such it may not be reproduced without every student's permission.
Step - Discussion forums
Subject Copy in the control panel
Sections of previously offered subjects can be copied using the manual Subject Copy option available in the control panel. You will need to be a coordinator in both subjects in order to access the previously delivered content and then to target the new subject.
Hint: When an existing subject is copied into a new subject shell, any menu items that appear in both subjects will be duplicated in the new subject and cause issues with the new menu structure. To avoid this, delete all the menu items in the new subject shell before you copy the existing subject.
Check Collection Links
This is a handy utility in the control panel of your subject that displays the status of links to content, their URLs and their permission status. From this display one can easily identify content that resides in the content folders of previously delivered subjects and which should now be copied to the current subject's base folder in the content collection.
Once these files are in the correct location and the links have been corrected in the learning system, the tool can be run again to check the permissions for all linked material.
